What should you record at the time of handover? A guide to help you complete the process by organizing the items left in the house, meter readings, subscriptions, and post-sale documents.

When the title deed transfer is completed, there may still be tasks to be done for the delivery of the house and the settlement of accounts. It should be clear in advance who will hand over the keys, on what date, which items will be left in the house, and how the final bills will be tracked.

Check the delivery date and the condition of the house together

Clearly define the delivery date agreed upon with the buyer in writing before the sale. If additional time is needed for your move, record until what date the house will be used, how the expenses during this period will be handled, and the delivery conditions.

On the delivery day, walk through the house with the buyer. Compare the previously agreed list of items and the current condition of the house. Do not use phrases like "delivered empty" or "all tasks completed" that do not match the actual condition of the house. What information should you write in the delivery report?

The delivery report allows you to record what was checked and delivered on that day together. Write the address of the property, the information of the parties, the delivery date, and if necessary, the time. Prepare the document clearly so that both parties can read it, and keep signed copies for each party.

Deliver the keys and usage information completely

Request your current account statement from the site or apartment management. Check the paid fees, pending amounts, and any additional payment decisions made. Write down the expense sharing agreed upon with the buyer; also verify how this agreement affects obligations to the management or relevant institution.

For example, in an apartment within a site in Gündoğan, there may be a previously agreed maintenance payment in addition to the monthly fee. Clarify this item instead of just checking the last month's fee. Provide the necessary information for the management to update the owner and contact records.

Consult with the municipality to discuss your post-sale property tax registration and notification processes if necessary. Do not assume that all accounts are automatically closed with the title deed transfer; track which transactions have been completed through documents or application results.

Keep sales documents, check the tax calendar

Final check before closing the file

Have the keys and agreed items been delivered? Have the meter values been recorded? Have the results of subscription applications and final bills been tracked? Have the management and municipality processes been checked? If there is an outstanding issue, is the responsible party and completion date clear?
