How to Manage Buyer Enquiries and Property Viewings

How to Manage Buyer Enquiries and Property Viewings

Understand each buyer’s requirements, arrange suitable viewings and record useful feedback to help you decide the next steps in your sale.

A steady flow of enquiries is encouraging, but it helps to know which buyers are ready to move forward. Ask your agent to establish what each person is looking for, arrange viewings with care and follow up with useful feedback.

Ask your agent to understand the buyer’s requirements, organise appropriate viewings and record what happens afterwards. For an overview of the whole process, see our seller’s guide.

Establish the buyer’s requirements

  • Which areas and property types are they considering?
  • What is their budget, including purchase costs?
  • Which features are essential?
  • Will the home be used year-round or seasonally?
  • When would they like to buy and move?
  • Does the purchase depend on a mortgage or another property sale?

A buyer considering year-round living in Gündoğan may ask about heating, stairs and everyday access. Someone seeking a holiday home in Gümüşlük may focus on garden maintenance and managing the property while away.

Share the essential facts before the appointment

Give the buyer the asking price, verified areas, layout, occupation status and likely handover arrangements. Explain important usage rights, included items and known repair needs.

A buyer seeking a private pool in Yalıkavak should know before visiting if the home has a shared pool. If a requirement does not match, discuss whether the buyer still wishes to view rather than allowing an avoidable misunderstanding.

A buyer’s initial account of their budget is not proof of available funds. Confirm the relevant funding position later when assessing an offer.

Arrange access around the property’s use

For an occupied home, agree notice and suitable times. Coordinate visits to a tenanted property with the relevant arrangements and the tenant. In a vacant home, identify the keyholder and the person responsible for checks before arrival.

Confirm the meeting point, time and agent attending. Allow enough time to see the property properly and avoid overlapping appointments. Agree how cancellations will be communicated.

Use the checklist in our home preparation guide before each visit.

Give buyers time to inspect and ask questions

The agent should explain the layout and verified features, then leave room for buyers to explore and consider their needs. If you attend, agree who will lead the viewing so information remains consistent.

Record questions that cannot be answered reliably on the spot. A query about garden rights or building approvals may need a document check. Follow up with the verified information rather than guessing.

Ask for specific feedback

‘Did you like it?’ can be a starting point, but more useful questions explore what worked, what caused hesitation and what information is still missing. Ask whether a second viewing or an offer is being considered.

Separate the buyer’s comments from the agent’s interpretation. ‘The stairs do not suit us’ is not the same as ‘the price is too high’. If the buyer gives no feedback, record that rather than inventing a reason.

Keep a simple enquiry and viewing record

Buyer Stage Outstanding point Next action A Initial enquiry Needs a confirmed handover date Check and share the timetable B First viewing Requests heating details Verify and send the information C First viewing Layout does not meet requirements Record the feedback accurately D Second viewing requested Wants to return with family Arrange a suitable appointment

These are illustrative records. Add enquiry date, source and last contact where useful. Do not count the same buyer twice because they contacted you through different channels, and keep personal information appropriately restricted.

Understand why interest is not turning into offers

Few listing views, many enquiries without visits and visits without offers are different patterns. Review the stage at which interest falls away.

Limited visibility may call for a check of channels, filters and presentation. Repeated confusion about facilities may call for clearer photographs and descriptions. Consistent price concerns should be considered alongside current comparable property evidence.

Avoid making a decision from one isolated comment. Review repeated feedback and the wider marketing information with your agent.

Agree a clear follow-up plan

At each review, identify the action, the person responsible and when it will be checked. Complete outstanding information and agree the next contact with the buyer.

When an offer arrives, move from general interest to a full assessment of price, funding and handover. Our offer comparison guide explains what to request before deciding.
